An AI receptionist for both CGC front desks
It answers every call to West and North in a warm, natural voice, knows your classes, waitlists and policies, and texts parents the link they need. Evenings and weekends included.
VoiceShiftAI builds AI receptionists for kids' activity clubs, and we already run them for gymnastics and dance clubs in Canada. The receptionist answers your phone, handles the questions your offices field all day, and passes on anything that needs a person.
We built a working demo from your public website and Uplifter pages, so it already knows both locations, your Active Start classes and prices, and how your waitlist works. The link to try it is at the end.
1What the phones look like at CGC
Two offices, two phone lines, and a schedule that runs well past both:
- West's office is staffed 28 hours a week (Monday to Thursday 9 to 3, Friday 9 to 1) and North's 40 (weekdays 8 to 4). Both are closed on weekends, when Saturday classes run full from 9 in the morning.
- Demand is ahead of seats. On your public fall schedule, 105 of 135 Active Start classes are full, with 936 waitlist entries between them. Every one of those is a parent who may call to ask whether a spot opened or which weekday still has room.
- Registration opens on the clock, often when both offices are shut: winter camps on Sunday, November 1 at noon, winter priority registration on December 15 at 7 pm, and open registration on December 17 at 7 pm.
- The same questions come in all day. Which class fits my four-year-old? Can she try a class first? Why can't I register over the phone? I've forgotten my login, what now?
That's more phone than two offices can catch while they're also looking after the families in front of them.
2What the receptionist does
Everything here is what the CGC version would handle, built from your own information.
- Answers every call, at any hour, at both locations. Each location keeps its own published number. During office hours it can wait a few rings so your staff pick up first, then it catches the overflow.
- Knows West from North: which programs run where (CanJump and boys' CanGym at West, Junior Gems and Aspiring Abilities at North), plus the address, office hours and email for each.
- Recommends one class for a child's age, from Babynastics at six months to Adult Rec, and suggests a FUNdamentals assessment for new children nine and up.
- Handles spots and waitlists. It says plainly when a class is full, offers a weekday time with room, and explains how the waitlist email and the 48-hour window work.
- Texts the right link mid-call, while the parent is still on the phone: registration, Active Start, CanGym and CanJump, camps, parties or the FAQ.
- Covers the rest of what parents ask: camps, Kids Night Out, parties, Drop & Gym, Adult Rec by the date, billing, withdrawals, the AGF fee and what to wear.
- Gets a person when one is needed. It transfers to the office during office hours, or takes a message for the right location (a tryout, a transfer, a billing question) and emails your team a summary after every call.
- Logs every call. Each one is recorded, transcribed and summarized in your own call dashboard, with a monthly report on what parents called about.
3What it saves against hiring for the same hours
Covering only West's evenings and weekends with a person, before counting North.
| A person on the phone | The AI receptionist |
| Hours covered | West's 49 evening and weekend hours a week | Every hour, both locations |
| Monthly cost | About $5,300 | From $550 |
| Calls at once | One | Several at a time |
| Sick days, breaks, turnover, training | All of them | None |
That's about $4,750 a month, or roughly $57,000 a year, on West alone.
West's Google listing shows the gym open 9 am to 8 pm every day, 77 hours a week, and the office is staffed 28 of them. 49 hours at about $25 an hour all-in (wage plus employer costs) comes to about $5,300 a month. The receptionist figure is our Business Pro plan.
4Real numbers from a club we run
One month of data from a Canadian gymnastics club on this system, shared anonymously.
262
calls answered by the receptionist in September
75%
of them came in outside front-desk hours
5h 19m
of phone time handled in the month
September 2026, from that club's monthly performance report. Three in four of those calls would have reached a closed office.
5Lead reactivation: fill seats from families you already know
Every club has past and lapsed families sitting in a spreadsheet. The same AI can call through that list in an evening, tell families what's new for the season, answer their questions and text the registration link to anyone who asks. Families who don't pick up get a voicemail and a follow-up email from your own address.
With fall Active Start mostly full, the natural targets for CGC are winter registration, camps and the classes that still have room. It's an optional add-on, run when you choose.
Spring 2026
82 kids registered
902 families contacted, 70 signed up. About $24,600 in registrations, 19% of the club's spring sign-ups, for $505 in campaign cost.
Fall 2026
36 kids registered
1,002 families called, 33 signed up within 16 days. $12,332 in fall session fees, 15 times what the campaign cost.
Fall 2026
14 kids registered
803 families called in one evening, 12 signed up within six days. $16,340 in season tuition, 22 times what the campaign cost.
Each club's final campaign report, matched against its own registration records. Shared anonymously.
6How it gets built, and what we need from you
We build it from your website, Uplifter and policies, so there's very little for your team to pull together. Before it takes a single live call, you review every detail and confirm it's right.
Your published numbers stay yours. Your phone provider forwards calls to the receptionist, and the same setting turns it off.
Your team gets a dashboard with every call's recording, transcript and summary, and we'll show them how to use it before the receptionist goes live.
Try the CGC agent yourself
We built a working demo from your own website and registration pages. It runs in your browser, no phone call needed. Ask it what parents ask: which class fits a three-year-old, whether Saturday KinderGym has a spot, when winter camp registration opens.
Talk to the demo agent
It's built only from what's public, so a detail here or there may be out of date. The real one is built with your team and checked before it takes a single live call.
